Stall booking form and terms

We love having stalls at our events and we're looking forward to seeing you there.

2023 Stalls cost £25 for one day and £40 for both days of a two day event.  Payment is due on receipt of your invoice to confirm your booking.

Please be patient... we are a small extremely busy team of volunteers so we can't always respond quickly, but if you have submitted a form, we have received it and will process it as quickly as possible.

All bookings are subject to the terms and conditions below. You must have a risk assessment and appropriate insurance in place to attend any of our events as business or organisation, but we will consider bookings from individuals too if you get in touch to discuss this.  If you have any queries, we're here to help.

Terms and Conditions

Allestree Alliance hold a number of events throughout the year and we welcome traders, charities and other stalls, provided that Stallholders agree to the following terms:

General Terms

• Stalls are the responsibility of the stallholder.
• Stalls must be ready to trade at the commencement time of an event, and stay until the end of the event before packing their stall away.
• Stalls cannot be left in place overnight unless stated otherwise or agreed in advance.
• Every effort will be made to promote and ensure a good footfall at events, but Allestree Alliance cannot be held responsible if an event is poorly attended.
• Fundraising stalls must clearly identify the beneficiary.
• Games of chance must extend reasonable odds of a win. For example, a tombola must offer a prize to at participants with tickets ending in a '5' or a 'zero', it must be possible to win all the prizes on show, and all tickets must be available in the selection.
• Stallholders are responsible for compliance with all applicable regulations, such as data protection law, food labelling, trading standards and Health & Safety.

Stallholder fees

• The 2023 cost of a stall ("Stallholder fee") is £25 for a one day event per event or £40 for a 2 day event per event unless otherwise advertised on the event page of this website.
• Discounts are available for stallholders attending multiple events.
• Fees may only be discounted or waived at the discretion of 3 or more Allestree Alliance Directors.
• Stallholder fees are payable at the time of booking and bookings are not secured or included in any advertising materials until paid for.
• There is no refund of stallholders fees if a stallholders doesn't show up on the day, or if a stall is cancelled within 2 weeks of an event.
• If a stallholder cancels at any time before 2 weeks before the event, 90% of stallholder fee will be refunded.
• If an event is cancelled by Allestree Alliance, 100% of the stallholders fee will be refunded.

Allocation

• Stalls will be limited to one class of stall per event unless otherwise stated or implied by the event page on this website.
• Space is allocated on a first come, first served basis subject to the payment of the stallholder fee.
• Stalls may be outdoors or indoors depending on the event and availability.
• Outdoor space will be limited to 3m x 3m (10ft x 10ft) unless otherwise stated or agreed in advance.
• Indoor space will be limited to one 1.9m (6ft) unless otherwise stated or agreed in advance.
• Every effort will be made to arrange power, tables, chairs and other equipment on request, but there is no guarantee.

Risk Management

• Stalls must be protected by adequate public liability insurance in place at the time of the event.
• Where applicable, food and drink stalls must hold the appropriate health and safety accreditations.
• Stallholders must have carries out a risk assessment that covers covering event (Email us if you want to use our template).
• Allestree Alliance are not liable for stalls.  Stallholders agree to indemnify Allestree Alliance for any detrimental impact caused to them by their stall.

That's it. We don't like making rules, but most of the points above have been included because we've had to learn lessons the hard way.
